What Old Oaks Guests Can Expect (Covid19)

Information for all guests staying at Old Oaks

Please do not travel if you have any Covid19 symptoms

Info below is valid until restrictions change on 19th July, at which point they will be updated (see bottom of page for update)

Everything will be open, including showers.  Clearly, the safest thing for everyone is to continue to use your own facilities, wherever possible, but we know this is not possible for all.  We have robust cleaning procedures and risk assessments in place and we will be providing plenty of cleaning sprays in all areas, which we request that all guests use, before and after showering, or using any other facilities.  Strict social distancing must be adhered to and face mask MUST be worn in all indoor, shared areas as per Government guidance for our industry.

NB:  We are still requesting that everyone who is able to use their own facilities, should do so, as this is the safest thing to do currently.

Pre-arrival procedures
~ We are encouraging all guests to download and use the NHS Covid19 track and trace app from the smart phone app store.

~ In 2021, parks are required, by law, to ‘ask every customer or visitor to scan the NHS QR code (available on arrival at Old Oaks) using their NHS COVID-19 app or provide the name and contact details, not just the lead  member of the group’.

~ Balance reminders will be sent around 28 days before arrival. Balances should be paid via the link in the email.  This applies to all guests and will mean that check in can be contactless to protect guests and staff.

~ Approx 5 days before arrival, receive an email which will contain lots of information and documents  for you to print at home. Please see our digital downloads page for all of this information.

Arrivals procedures 
Arrival time is STRICTLY AFTER 1PM for all touring guests, 2pm for glamping cabin guests, and 3pm for lodge & shepherd hut guests.

~ Arrive at entrance as usual (touring on the left at the top of the drive, glamping in the car park in front of reception)*

~ Touring guests, please wait in your vehicle before the security barrier (about 1 metre back from the white line, so that the barrier does not open)*

~ Storage customers may enter the park, no earlier than 1pm, but ONLY if they have had their pitch number confirmed prior to arrival (this will be stated at the online check-in stage)*

~ Text our duty phone number 07910 505066 to let us know you’re here*

~ Warden will take you to your pitch or accommodation in a socially distanced manner*

*All of the above procedures with a * will remain in place on a permanent basis, post Covid, as check-in times are greatly reduced, using this method.

Other changes

~ Reduced hours in shop & reception. 9am to 7pm.  Lunch 12 noon to 12.30pm

~ Glamping accommodation keys will be sanitised and provided in an envelope with your wifi code on arrival (premium wifi is for shepherd huts and lodges only).

~ Keys to be deposited in the new drop box outside reception on departure

 What we’re doing to reduce the spread of infection

~ Enhanced cleaning regime

~ Measures to reduce as much person to person contact as possible

~ Plenty of hand sanitiser around the park

~ Additional signage to remind guests to respect social distancing at all times

~ Face coverings must be worn in all inside, shared areas

What guests can do 

~ Enjoy their caravan/accommodation and the area of their pitch and public footpaths/ cycle routes through and around the park

~ Walk freely on the park, at all times observing social distance from other park users and staff

~ Support our local community and businesses by downloading our Click and Collect app (HOPT).

~ Pre-order food boxes and local supplies from our shop, which can be collected at the park

~ Use our food takeaway services and food vans at the park, 7 nights a week* (print order forms and menus at home) to reduce reliance on and congestion in, local outlets

~ Place takeaway orders via email info@theoldoaks.co.uk. Or take your paper orders to
reception. Payments can be made via contactless card app at reception or via an online
payment link (at your request)

~ Please, at all times, show consideration and respect for our local community and observe social distancing

Please do not

~ Meet or gather with friends in a large social groups, unless permitted by current government guidelines

~ Allow people from outside your household into your accommodation (or in accordance with latest guidelines)

On departure, please:

~ Glamping ~ Leave windows open on the latch (unless it is very windy / rainy)

~ Glamping ~ Place any used sheets, pillowcases and duvet covers in the bags provided

~ Glamping ~ Drop your key back into the key drop box outside reception

~ All ~ Inform us (electronically or by phone) if you are experiencing symptoms when you return home so that we can take any necessary steps 

Your responsibilities

~ Please do not visit us if you or any member of your household have Covid19 symptoms

~ Please respect social distance in all contacts inside and outside the park

~ Wear a face covering every time you visit the shop, reception and all shared indoor spaces

~ Please show consideration to our local community. Local relationships are important to us and some are understandably apprehensive about the potential impacts of returning visitors

~ No social gatherings of more than the current recommended number

~ We strongly urge guests to use the facilities in their own units wherever possible to reduce the risks of virus spread

~ Our team are our most precious asset, without whom the park will need to close, so please do refrain from prolonged interactions, so that everyone can feel safe and remain healthy

~ If you feel unwell at any time, with symptoms of Covid19, you must leave the park immediately, without interacting with anyone else. You should then contact the park as soon as possible to let us know

~ Reception (max of 4 persons at a time, at all times):

*** Update re 19th July change in restrictions ***

Old Oaks management and team wanted to update all guests on how we intend to move forward as restrictions are lifted in England on Monday 19th July. The health, safety and well being of our staff, guests and visitors remain our top priority and it is for this reason that although many legal restrictions are being lifted, all reasonable steps remain necessary to protect everyone on our park. Monday will therefore not be a big change, but perhaps it might be the beginning of a gradual process.
The risks haven’t changed, so neither will our measures to mitigate it to any great extent. We will continue to do the following:
✅ Contactless check in ~ text your arrival and we’ll come to you
✅ Ask guests to check into our location using the NHS app
✅ Enhanced cleaning regime
✅ Hand sanitisers & sprays provided in multiple locations
✅ Protective screens will remain in reception
✅ Our staff may choose to socially distance from each other and guests for their own protection
✅ Staff may wear masks when in close proximity to others
✅ All existing signage will remain in place as a reminder that a risk still exists. Mask inside are no longer compulsory, however, we’d like to think that our guests will all be looking out for each other
Our main objective, as always, is to provide our guests with the best possible holiday experience and so we want everyone to have a fantastic, but safe time with us, as we move through this next stage. We hope you will be reassured by our actions.
